Job summary

We have an exciting opportunity for a PCN Administration Coordinator to come and join the friendly Exeter West Primary Care Network (PCN). The position is for 3 day's a week and is a new role. The Practice has 12 Partners, an overall Group Manager, Deputy Group Manager and 2 Deputy Practice Managers. This person would act as support to the PCN, working closely with the Clinical Director, and also the wider management team.

The times/hours for this new position would start at 8.30am and finish at 5.00pm. 7.5 hour days, with 1 hour unpaid lunch break.

The days required are Tuesdays, Thursdays and Fridays - For the right candidate we would consider alternatives. This position is in house and the successful candidate would be expected to work across sites.

The Group have 3 sites across Exeter. The St Thomas Health Centre, The Student Health Centre and Exwick Health Centre.

The Practice uses SystmOne as their clinical GP IT system.

The ideal candidate will have an excellent skill mix, be friendly, have a good sense of humour and be flexible.

We are seeking someone who is enthusiastic about delivering excellent patient care, with good interpersonal/communication skills and has the ability to work well independently as well as part of the integrated team.

Main duties of the job

The PCN administration coordinator will operate in a complex environment of primary care management. They will assist the delivery and implementation on a wide range of business, data submissions, and improvement initiatives across the PCN providing administrational support to the PCN Clinical Director, ARRS Clinical Supervisor, PCN Managers, the board & practice.

The PCN administration coordinator will develop strong relationships and engage with a wide range of stakeholders across the locality and PCN to ensure collaborative approaches to service development and delivery. In doing so they will improve integration with the broader community services as our network continues to mature. The PCN administration coordinator will be responsible for supporting the administration of projects in conjunction with the PCN Manager & Clinical Director with a focus upon developing partnerships across primary care, community services, social care, mental health, the voluntary sector and secondary care to improve patients quality of care.

The PCN administration coordinator will be responsible for disseminating new information across the member practices and tasked with coordinating shared learning events. They will actively support integrated neighbourhood ways of working whilst promoting standardisation (where appropriate) for efficiency purposes. The PCN administration coordinator will be assist with the recruitment process, adverts, interview questions, contract and new starter paperwork.

Job responsibilities

To work as part of a multi-disciplinary team across the practices.

To work closely with the relevant teams and practices to support network implementation and standardisation of agreed service change, contracts, policies, pathways, and quality improvement whilst acting as the point of contact for practice managers regarding delivery of a PCN project/scheme such as COVID19

To organise adverts, interviews, and all recruitment administration for ARRS Roles

To schedule ARRS roles appraisals.

To support general diary management of Clinical Director and Deputy Clinical Director for ARRS supervision and meeting attendance.

To liaise and work with all practices in the PCN, Clinical Director, ARRS Supervisor or PCN Manager on an ad-hoc project basis.

To assist all projects designated to the role and to ensure patient safety and quality of care is always considered and establish necessary monitoring and tracking processes.

To collate feedback/analysis data on behalf of the PCN to report to the ICB.

To co-ordinate the delivery of enhanced services and other service submissions on behalf of the PCN.

To provide administrative support at board/strategic meetings, take minutes and circulate.

To ensure all ARRS claims are submitted on a monthly basis.

To support the Data Protection Officer of St Thomas Medical Group to ensure the PCNs compliance with GDPR and FOI along with other relevant legislation and professional standards from GMC/BMA and LMC guidance.

To assist in the resolution of any complaints and assisting in the investigation as instructed by the practice complaints teams.

To develop yourself and the role through participation in training and service redesign activities.

Undertake any tasks consistent with the level of the post and the scope of the role, ensuring that work is delivered in a timely and effective manner.

Duties may vary from time to time without changing the general character of the post or the level of responsibility.
